Job Statuses Explained
Every job in GlassFlow moves through a series of statuses from the moment it's created to when it's fully paid. Here's what each one means and how to move between them.
The 7 Statuses
Status | What it means |
|---|---|
New Lead | Job just created — not yet scheduled |
Scheduled | Date and time assigned; tech is confirmed |
In Progress | Tech has started work on-site |
Completed | Work is done; payment not yet collected |
Paid | Payment received (card, check, or insurance) |
Paid — Cash/Venmo | Payment received via cash or Venmo |
Invoiced | Invoice sent to the insurance company; waiting on the check |
How to Move a Job Forward
Each status has one button that shows the next allowed action:
- New Lead → click Schedule Job
- Scheduled → click Start Job
- In Progress → click Mark Complete
- Completed → click Mark Paid or Mark Paid — Cash/Venmo
- Paid or Paid — Cash/Venmo → click Mark Invoiced
You can't skip statuses — each transition must happen in order.
What Happens Automatically at Each Transition
- → Scheduled: A confirmation SMS is sent to the customer (retail customers only, if SMS is enabled)
- → In Progress: A reminder SMS is sent to the customer if the job is today
- → Completed / Paid: Parts assigned to the job are automatically deducted from the technician's van inventory
Active vs. Finished Jobs
Active jobs are in: New Lead, Scheduled, or In Progress
Finished jobs are in: Completed, Paid, Paid — Cash/Venmo, or Invoiced
The Jobs list filters by these groups so you can focus on what needs attention.
